Yesterday together with SmartHR Latvia we hosted a live demo of Beneflo for HR leaders, founders and finance teams. Over 50 minutes we walked through the platform from both sides: how an employer sets up benefit budgets, and how an employee uses them day to day. The most useful part, as usual, was the Q&A. Here are the questions that came up most, with our answers.

“Our team is spread across several countries. Can one benefits programme work for everyone?”

Yes, and that is the main reason Beneflo exists. Most benefits schemes are built around one office in one country. Beneflo is built for distributed teams, so you set one programme and each employee uses their budget where they live. You don’t have to negotiate separate packages with local providers in every market.

“How do employees actually spend their benefits?”

Each employee gets a budget and chooses what matters to them within the categories you allow, such as health, sport, learning or wellbeing. They pay, upload the receipt or invoice, and Beneflo recognises the document automatically, so nobody has to type in amounts or merchant details. The employer sees the claim, the category and the amount in one place.

“How do we get employees to actually use their benefits?”

Low usage usually comes from two things: benefits people don’t want, and a claims process that takes too much effort. Beneflo addresses both. Employees choose what’s relevant to them instead of receiving a fixed package, and claiming takes a photo of a receipt. HR can also see usage by category, which shows what the team values and where the programme could change.

“Can different employees have different budgets?”

Yes. You can set budgets by team, role, seniority or location, depending on how your company structures compensation. Everyone in the same group gets the same rules, which keeps the programme fair and easy to explain.

“Won’t flexible budgets make costs unpredictable?”

No. You set the limits: the total budget per person, the period it covers, and which categories are eligible. Employees choose freely inside those limits, never outside them. Finance teams get a clear view of what has been spent and what remains, so there are no surprises at the end of the quarter.

“Does unused budget roll over?”

That’s your decision. Some companies reset budgets each period to keep costs predictable, others let a portion carry over so employees can save for something bigger. Beneflo supports both approaches.

“How much work is this for HR?”

Less than what most teams do now. The time-consuming parts of running benefits are collecting receipts, checking them and reconciling spend. Beneflo handles document recognition and keeps everything organised by employee and category, so HR reviews instead of chasing paperwork.

“What happens when someone joins or leaves the company?”

New hires are added to the platform and get their budget from the start date you choose. When someone leaves, you close their access, and your programme rules decide what happens to any budget they haven’t used.

“How does this relate to the EU Pay Transparency Directive?”

The Directive’s definition of pay covers more than base salary, including benefits in kind, so benefits become part of the conversation about fair and comparable pay. Clear, rule-based budgets per role or group make it easier to show that benefits are allocated consistently. Beneflo keeps a record of what each group is entitled to and what has been used, which helps when you need to explain your approach.

“What about tax? Are these benefits taxed differently in each country?”

Tax treatment of employee benefits varies by country, and sometimes by category. Beneflo helps you structure your programme and keeps the records you need, but we always recommend confirming the local rules with your accountant or tax adviser for each market you operate in.

“Is our employees’ data safe?”

Employee data is handled in line with GDPR. Employers see what they need to manage the programme, such as amounts, categories and documents, and access is limited to the people you authorise.

“How do we explain the programme to employees?”

We help with that during onboarding. Employees get a clear view of their budget, the eligible categories and how to claim, so HR doesn’t have to answer the same questions one by one.

“How long does it take to get started?”

Setup typically takes 3-4 days. You define your budgets and categories, invite your team, and employees can start using their benefits straight away.

“We’re a small company. Is this only for large teams?”

Not at all. Many of our clients are growing companies that want to offer benefits comparable to larger employers without building an in-house scheme.
